Who is responsible?<\/h2>\n<p>Finito is een product van Moof grafisch ontwerp Comm.V, Steenland 46, 8930 Rekkem, Belgi\u00eb, ondernemingsnummer BE 0833.354.120, hierna &#8220;Moof&#8221; of &#8220;wij&#8221;. Two roles: controller and processor<\/h2>\n<p>For the data of our own customers (anyone who creates an account, pays or contacts us) and for visitors to finito.work, we are the <strong>data controller<\/strong>. That's what this privacy policy covers.<\/p>\n<p>The data a company keeps in Finito about its employees, such as hours, planning and absences, we process <strong>on behalf of that company<\/strong>. The company is then the controller and we are the processor. The arrangements for this are in the <a href=\"\/en\/terms\/#verwerking\">data processing agreement in our terms<\/a>. If you're an employee with a question about your data in Finito, please contact your employer first. We'll help your employer answer it.<\/p>\n<h2 id=\"gegevens\">3. What data do we process?<\/h2>\n<ul>\n<li><strong>Account details:<\/strong> name, email address, language, role in the company and company name.<\/li>\n<li><strong>Security:<\/strong> your password (only stored encrypted) and the data for two-step verification.<\/li>\n<li><strong>Work data:<\/strong> recorded hours, timers, projects, tasks, comments and messages, planning, work arrangement, overtime and flexitime reviews, and payroll exports.<\/li>\n<li><strong>Absences:<\/strong> verlof, recup en ziekte, met datum en duur. Finito vraagt geen medische informatie: bij ziekte wordt enkel bijgehouden dat iemand afwezig is. Collega&#8217;s zien alleen &#8220;afwezig&#8221;.<\/li>\n<li><strong>Amounts:<\/strong> hourly rates and cost prices, if the company enters them. Only people with permission can see them.<\/li>\n<li><strong>Log:<\/strong> who changed which hours or data and when, so the original entry stays visible.<\/li>\n<li><strong>Billing and payment:<\/strong> company name, VAT number, address, billing address, plan, number of users and payment status. Payment details such as card or account numbers go straight to Mollie. We don't see them.<\/li>\n<li><strong>Technical data:<\/strong> limited data needed to secure the service and track down errors, such as sign-in times.<\/li>\n<\/ul>\n<h2 id=\"waarom\">4. Why do we process that data?<\/h2>\n<ul>\n<li>Om je account en dat van je collega&#8217;s aan te maken en te beveiligen, en om Finito te leveren. Legal basis: performance of the contract and legal obligations.<\/li>\n<li>To prevent abuse, secure the service and provide support. Legal basis: our legitimate interest.<\/li>\n<\/ul>\n<p>We don't sell data, don't send advertising to our customers' employees and don't use your data to train AI models.<\/p>\n<h2 id=\"diensten\">5. External service providers<\/h2>\n<p>We work with these service providers. They only get what they need for their task:<\/p>\n<ul>\n<li><strong>Supabase:<\/strong> database and sign-in. The data sits on servers in Frankfurt, Germany.<\/li>\n<li><strong>Cloudflare:<\/strong> hosting and security of the app and the domain.<\/li>\n<li><strong>Brevo:<\/strong> sending emails, France.<\/li>\n<li><strong>Mollie:<\/strong> payments, Netherlands.<\/li>\n<li><strong>Hetzner<\/strong> and <strong>RunCloud:<\/strong> server and server management for the finito.work website.<\/li>\n<li><strong>Google Fonts:<\/strong> the website's font.<\/li>\n<\/ul>\n<p>Where data leaves the European Economic Area, as with Cloudflare or Google, this happens with the safeguards the GDPR requires, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.<\/p>\n<h2 id=\"website\">6. The website and cookies<\/h2>\n<p>On finito.work we use no advertising or tracking cookies and no third-party visitor statistics. The website loads a font from Google Fonts, which means Google receives your IP address. In the app itself we only use what's needed to keep you signed in.<\/p>\n<h2 id=\"bewaring\">7. How long do we keep data?<\/h2>\n<ul>\n<li>As long as your account is active.<\/li>\n<li>Employees who leave are archived in Finito, not deleted. That way the employer can meet their legal retention obligation. The employer can ask us to delete archived employees' data.<\/li>\n<li>When an account ends, we delete the data within 30 days, except what we're legally required to keep, such as invoices.<\/li>\n<li>Backups are overwritten after 30 days at most.<\/li>\n<\/ul>\n<h2 id=\"beveiliging\">8. Security<\/h2>\n<p>In the database, each company's data is walled off from every other company's. Administrators must use two-step verification. All connections are encrypted. Secret keys live only on the server, never in the app or the browser. Employees only see what fits their role.<\/p>\n<h2 id=\"rechten\">9. Your rights<\/h2>\n<p>You can ask for access to, correction, transfer, restriction or deletion of your personal data, and object to certain processing. Email <a href=\"mailto:hallo@finito.work\">hallo@finito.work<\/a>. We reply within a month. If it concerns data your employer keeps in Finito, we pass your request on to your employer.<\/p>\n<p>If you're not happy with how we handle your data, you can file a complaint with the Data Protection Authority, Drukpersstraat 35, 1000 Brussels, <a href=\"https:\/\/www.gegevensbeschermingsautoriteit.be\">www.gegevensbeschermingsautoriteit.be<\/a>.<\/p>\n<h2 id=\"wijzigingen\">10. Changes<\/h2>\n<p>We update this policy when Finito or the services we use change. The current version is always on this page.
