Sold per word, worked per hour
A technical manual from German into Dutch with lots of repetition goes quickly. A marketing brochure from French into Dutch where every slogan has to be rethought goes slowly. On the quote both have a per-word rate. In reality there's sometimes a factor of two between them.
Time tracking for a translation agency shows that difference. You see per client, per type of text and per language pair how many hours a job takes, and so where your per-word rate works and where it doesn't.
How to set it up
Job as a project
Every job becomes a project, with the client and language pair in the name, e.g. FR-NL manual for a made-up machine builder. That way you see hours per client and per language pair.
Translation, revision and DTP kept separate
Add the steps as tasks under the project. The reviser starts the timer on Revision, the translator on Translation.
Budget based on the quote
Convert your per-word rate into an hours budget and give it to the project. You see along the way where you stand, e.g. 36:00 of 50:00, so 72%.
Who sees which amounts
The owner decides per person who sees amounts. A project manager follows the hours but never sees the translators' cost prices.
A week with a deadline
A made-up example: a translation agency with four staff translators and a project manager.
Monday
A client sends an annual report due Friday, in two language pairs. The project manager splits it across three translators in the schedule.
Tuesday
A translator is ill. The schedule shows which tasks need rescheduling. Some go to a colleague with the same language pair, some move to Wednesday.
Thursday
Two translators work until 20:00 to make the deadline. Those days differ from the schedule and go to the owner for review.
Friday
Delivered. The project is at 52:30 against a 50:00 budget. Next time this kind of text gets a bigger budget, or a higher per-word rate.
Deadlines and overtime
In a translation agency, peaks rarely come at a convenient time. The owner reviews days that run long: overtime, flexitime, additional hours or no overtime. Overtime is tracked to the minute under Belgian rules. If a translator takes half a day off in lieu the week after, it comes off the balance automatically. More on overtime and flexitime.
At the end of the month you close and the payroll export goes to your social secretariat. Your social secretariat calculates overtime pay, not Finito.
About Finito's own language
Finito works in Dutch, French and English. Every translator picks their own language when signing in, and by default Finito uses their device's language. Handy if not everyone on your team speaks Dutch.
Working time registration in 2027
The federal government wants a general obligation to record working time from 1 January 2027. Under the preliminary draft you have until the end of March 2027 if you have no system by then. No method is imposed. What exactly ends up in the final law isn't settled yet. Your social secretariat can tell you what applies to your agency.
